Blog Banner

HubSpot is a powerful tool that can transform your sales, marketing, and service operations — but only if you have the expertise to unlock its full potential.

That’s where a HubSpot Administrator comes in.

But what does a HubSpot Admin actually do?

To answer this, we turned to our in-house expert, Hunter, who manages HubSpot for Evenbound and our clients. Here’s what they had to say about the role, responsibilities, and value of a HubSpot Administrator.

What Is a HubSpot Admin?

A HubSpot Administrator is responsible for managing your HubSpot platform to ensure seamless operation across teams. Their work ensures data accuracy, reporting consistency, and alignment across departments.

Some of their typical responsibilities include:

  • HubSpot implementation, setup, onboarding, and training.
  • Managing roles, system access, users, and other tasks in HubSpot.
  • Serving as the frontline resource for internal end users to field questions, troubleshoot issues, and resolve problems.
  • Supporting priorities and functionality planning.
  • Overseeing integrations with other tech stack products.
  • Monitoring system performance, data integrity, and user activity to make recommendations and continuous improvements.
  • Data import management, auditing, and cleanup within the HubSpot CRM.
  • Managing workflows and focusing on sustainable, scalable processes.
  • Creating data reports and dashboards.
  • Implementing automation.

Q&A with Our HubSpot Specialist

Q1: What does a typical day look like for a HubSpot Administrator?

Each day, we review data inside the HubSpot account to ensure everything is in its place. This includes checking for errors in workflows, reviewing properties on recently created records, ensuring people stay on top of their tasks, and much more.

Besides that, every day is filled with different tasks to help ensure a HubSpot account is optimized and running smoothly. This often includes creating custom reports, building out automation, and creating new marketing assets, to name a few.

The wonderful thing about being a HubSpot Admin is that every day brings its own challenges, and you can take your time to explore a solution for each.

Q2: What skills make someone a great HubSpot Admin?

The primary skills that make a great HubSpot Admin are problem-solving ability and the ability to explain technical issues in a non-technical way.

Being a problem solver is important because, as a HubSpot Admin, different users often come to you when something goes wrong or doesn’t seem right inside the account. You need to dive in to find the root cause of the issue and implement a solution that ensures that it doesn’t happen again.

Along with this, you need to have the skills to explain what went wrong, why it happened, and how you fixed it, in a way that is easy to digest for the person that came to you with the problem.

Q3: What are some common challenges HubSpot Admins face?

One of the biggest challenges is balancing customization with simplicity. It’s easy to over-complicate workflows or dashboards, so we focus on creating streamlined solutions.

Another reason to focus on simplicity is that you don’t want to create a massive web that only you can untangle. Your solutions should be thoroughly thought through, and descriptions should be added to everything so that if anyone is wondering why something exists, a HubSpot user can understand.

Q4: Why is a HubSpot Administrator important for a business?

HubSpot Admins are the people who get things done. With your company running many crucial business functions throughout HubSpot, it’s important to have someone who knows your process from start to finish and has the technical expertise to help when problems arise.

In addition, we save the business time by running data health checks to ensure that everything looks good and identify any issues before they snowball and affect the whole team.

Q5: What advice would you give someone considering a career as a HubSpot Administrator?

Start by gaining a deep understanding of HubSpot’s tools and certifications.

Don’t shy away from hands-on experience—volunteer to manage HubSpot for smaller projects or teams. The more problems you solve, the better you’ll get at thinking critically and offering value.

I’d also suggest staying curious. HubSpot is constantly evolving, so keeping up with new updates and features is key.

Q6: What advice would you give someone looking to hire a HubSpot Admin?

If you're looking to hire a HubSpot Admin, focus on finding someone who combines technical expertise with strategic thinking. Look for candidates with hands-on experience in managing HubSpot’s tools (CRM, Marketing Hub, Sales Hub, etc.) and a track record of aligning the platform’s capabilities with business goals.

A great HubSpot Admin will not only ensure your system runs smoothly but will also identify opportunities to optimize workflows, automate processes, and drive measurable results.

During interviews, ask scenario-based questions to assess their ability to handle challenges like lead duplication, reporting, and workflow automation.
